Obtaining Contact Info by Fund Held

Obtaining Contact Info by Fund Held

  1. From the Durell front screen, click on “Reports” button. On the “Life” tab, select the “Funds Held” report and click “Proceed”

  1. In the new window that appears, set the options as seen in the following image. You target people with a specific fund by typing the fund name - which has to be character-perfect – into the box titled “Only show fund names with”.
  2. Once you start typing your fund name in, you will see the list of funds in the section titled “Fund Name” get smaller and smaller. Once you can easily select the fund you wish to report on or email clients about, tick it in the list.
  3. Ensure “Set mailshot flag in policy” is ticked and do the same for “Export to Excel” near the bottom of the window, before clicking on “OK” to run the report.

  1. Once you have run the report, you will see which clients have holdings within the selected fund, by looking at the Excel spreadsheet.
  2. After you have seen this output, you can close the report.
  3. Next, go to any client record in an address set

  1. Click on the Document Viewer button, then “New” and then select “Spreadsheet”

  1. Set the fields in the new window to those below

  1. Click “OK” to run the report. All clients who previously appeared in your Funds report will now appear in a new spreadsheet but this time with their addresses and email addresses where available.
  2. Order the Excel spreadsheet by the Email address column, to gather all those with email addresses together. You can email them news in a single email by pasting all their email addresses into the “BCC” field of an email, which will prevent the customers from seeing each other’s email addresses.
  3. For the ones without email addresses, you can decide whether you would like to send a letter to them, using the address information in the same report.
  4. To remove any duplicate client rows, highlight the entire spreadsheet, click on the “Data” tab followed by “Remove Duplicates”. In the new window that appears, select “Search Name” only and it will leave you with only one row of contact details per client with a targeted fund:
